Dynamic sync

Dynamic sync allows you to update Oneflow contracts whenever the underlying document is changed in Microsoft Word or PowerPoint. Changes you make in your documents will also be reflected in Oneflow contracts created from them.

Note:

  • Updates will only be applied to contracts in a Draft or Pending state.
  • Once updated, the existing PDF in the contract will be replaced with the latest version of the Microsoft Word or PowerPoint document.
  • The 'Last updated' date and time for update events are shown in your local time zone.
  • Contracts that are in a partially signed 'Pending' state (i.e. where some but not all signatories have signed) will be updated with the latest document. However, the signatures of these contracts will be invalidated. The contract will then have to be signed again by all signatories.

Dynamic sync

To update a Oneflow contract created from the add-in, perform the steps below.

  1. Open a Microsoft Word or PowerPoint document from which a Oneflow contract has been created, then make changes to the document.
  2. Save the document by pressing Ctrl+S, then open the Oneflow add-in from the ribbon. If the add-in is already open, click on the Reload button.

A notification will appear stating that changes were detected in the document with an option to update the contract with the latest document.

    Recommended:

    • For a better experience, make sure to manually save your document by pressing Ctrl+S before opening the Oneflow add-in.

    • This ensures the changes are detected by the Oneflow add-in. Otherwise, the update notification will appear in the add-in whenever Onedrive autosave checkpoints are reached in Microsoft Word or PowerPoint.

  3. Click on the Update button on the contract card.
  4. Click on the Update button again in the popup card to confirm.

The popup card that appears will vary depending on the state of your contract (i.e. draft, pending with no participants having signed the contract, or pending with some participants having signed the contract).

    Information:

    • If the contract is in a Pending state, you have the option to add a chat message describing the changes in the document.

    • The maximum supported length of a message is 5000 characters.

    • Once updated, these messages are visible in the Collaboration tab of the contract in Oneflow.

    Note:

    • Pending contracts where some signatories have already signed will be updated with the latest document. However, the signatures of these contracts will be invalidated.

    • The contract will then have to be signed again by all signatories.

    • Each participant in the contract will receive a notification when the contract is updated.
